From inquiry to container on your dock

Four steps. Most of the time goes to production and shipping — the paperwork and decision points are quick. Here is exactly what happens, in order, with realistic timing.

Day 1–3
Reply within 1 business day

Send inquiry — we confirm availability and price

Use the catalog to add products to your inquiry cart, or skip ahead and use the dedicated inquiry form. Either way, an email arrives at info@ekspora.com with your requirements and (optionally) saved contact details pre-filled.

Inside one business day we come back with:

Day 4–10

Sample, confirm, and lock the proforma invoice

For first orders we always recommend a paid sample shipment — either by air (DHL/FedEx) for small lots, or consolidated with the next container. Sample costs are typically deductible from the first production run.

Once you've signed off on quality and grade, we send a Proforma Invoice with:

Production, quality control, and documentation

We coordinate the production run with the original source — coffee lot, oil distillation batch, conwood extrusion, rattan weaving run, or charcoal kiln batch. Independent QC checks happen at three points:

Day 36–50

Loading, sailing, and after-sales

Goods are consolidated at our bonded warehouse in Tanjung Priok (Jakarta) or Surabaya. We book the vessel, handle the Bill of Lading, and send you the full document set by email the day after loading:

Payment terms typically used by our buyers:

T/T (Telegraphic Transfer)
30% deposit, 70% against B/L copy. Most common for established buyers.
L/C at sight
Irrevocable LC issued by your bank. Required for some first-time buyers or large orders.
Escrow
Independent third-party escrow service for first trial containers over USD 10 000.
Common questions

What buyers ask most

What is the minimum order quantity?
It depends on the category. Coffee is typically 1 × 20 ft container (≈18 tons); essential oil 25 kg drums up; conwood 1 × 20 ft container; rattan and wood furniture 5–10 CBM; charcoal 18–25 tons. Each product page lists a specific MOQ.
Do you ship LCL (less than container load)?
Yes — for coffee and charcoal we can consolidate your lot with other buyers going to the same destination. LCL works best for shipments of at least 2–3 tons; below that, air freight is usually cheaper.
Can I send my own shipping line?
Absolutely. We work with Maersk, MSC, CMA-CGM, ONE, Hapag-Lloyd, Evergreen, and COSCO. Tell us your nominated line when we confirm the Proforma Invoice and we'll book accordingly.
How do you handle quality claims after arrival?
If a third-party surveyor at destination identifies a defect, we coordinate with the producer on replacement, credit, or refund per the sales contract. We keep pre-shipment samples at our office for 90 days specifically for this purpose.
Do you do private label or white label?
For coffee, essential oil, and charcoal yes — minimums apply and lead times extend by 2–3 weeks. For furniture we can do bespoke finishes but not bespoke designs at MOQ.
Which currencies do you accept?
USD is the default. We can also quote in EUR, GBP, AUD, and JPY for orders over USD 25 000. IDR is available for domestic-only orders.
